For Payroll Representatives

In this section of the payroll Web site, you can find information regarding functions performed by payroll representatives (pay reps). The term is used loosely to identify an individual who performs any or all of the following functions at the unit, which is assumed to be a business service center.

  • Assign a supervisor to an employee who records time using the COLTS time collection system
  • Perform key administrative functions within the KRONOS time collection system
  • Pick up and/or deliver off-cycle paychecks to employees
  • Receive labor distribution reports electronically or in hard copy (i.e., Report 189)
  • Understand earnings codes
  • Understand deduction codes
  • Understand off-cycle checks and paylines
  • Return uncollected checks to the Payroll Office
  • Correct vacation/sick leave balances for nonexempt employees
  • Provide employees with information regarding direct deposit, tax withholding certificates, and the Foreign National Questionnaire (FNQ)
